What A–Z collects, why it is needed, how long it is kept and the choices customers have.

This notice explains how Jamie Webb, trading as A–Z Property Maintenance, uses personal information when someone visits the website, makes an enquiry or becomes a customer.

Please do not send medical diagnoses, care records or other special-category information. For safe access, describe only the practical arrangement A–Z needs to follow. A–Z is not a medical or occupational-therapy assessment service.
To respond, assess suitability, provide a quote, arrange access and perform the agreement. The lawful basis is taking steps at the customer’s request and performing a contract.
To invoice, keep required records and meet legal duties. The lawful basis is legal obligation.
To protect people and property, maintain accurate job evidence, prevent misuse and establish or defend claims. The lawful basis is legitimate interests and, where applicable, legal obligation.
To coordinate authorised access with a tenant, relative, landlord, agent or other contact, communicate about the work and protect the property. The lawful basis is A–Z’s and the customer’s legitimate interests in arranging the requested job safely and efficiently. Only necessary details are used, the effect on the other person is considered, and that person may object.
Only with separate, optional permission where consent is the appropriate basis. Refusing does not affect the service.
Most information comes directly from the customer. It may also come from a relative, property owner, landlord, tenant, letting agent or business contact arranging the job. Where A–Z receives someone’s details from another person, A–Z will provide the relevant privacy information by the first direct contact where practical and in any event within the period required by law.
Contact, property, access and payment information needed for the job is required to quote, form or perform the contract. Optional information will be identified as such. If required details are not provided, A–Z may be unable to assess or carry out the work safely.
A–Z does not sell personal information. It may be shared only as reasonably necessary with website and communications providers, an accountant or bookkeeper, banks or payment providers used for an agreed payment, insurers and professional advisers, a subcontractor or specialist agreed for the job, and public authorities where the law requires it.
This public website is hosted using OpenAI’s ChatGPT Sites. OpenAI’s published UK privacy information says personal data may be processed outside the UK, including in the United States, relying where applicable on UK adequacy regulations or contractual safeguards such as Standard Contractual Clauses with the UK Addendum. See OpenAI’s UK privacy policy. A–Z does not use this website to collect job details directly.
If the customer chooses WhatsApp, A–Z keeps the job conversation as its own business record and WhatsApp LLC separately processes account, usage, device and communications-related information under WhatsApp’s UK privacy policy. WhatsApp says it transfers information globally, including to the United States and Singapore, relying on UK adequacy regulations where available and approved UK contractual transfer mechanisms for other transfers. Customers may telephone instead if they do not wish to use WhatsApp.
This notice is available before anyone contacts A–Z. At or before the first personal reply where reasonably practicable, A–Z will also direct the enquirer to it. The short message will explain that Jamie Webb uses the supplied contact, property, job and photo details to respond, quote, arrange and document the work, and that the full notice explains retention, sharing and rights.
Self-employed tax records must generally be kept for at least five years after the relevant 31 January tax-return deadline. Retention is reviewed and information is securely deleted when there is no longer a lawful need.
Depending on the circumstances, a person may ask for access to their personal information, correction, deletion, restriction, portability, or object to processing based on legitimate interests or direct marketing. Consent can be withdrawn at any time. These rights are not absolute where records must lawfully be kept.
Make a request or data-protection complaint by post, telephone, WhatsApp or email using the details above. A–Z may need reasonable proof of identity. Rights requests will normally receive a response within one month. A–Z will acknowledge a data-protection complaint within 30 days, make appropriate enquiries, keep the complainant informed and provide an outcome without undue delay.
A person does not have to complain to A–Z before contacting the regulator. A complaint can be made to the Information Commissioner’s Office at ico.org.uk/make-a-complaint.
A–Z uses proportionate measures to protect records and limits access to those who need it. No solely automated decision-making or profiling is used to decide whether to offer a service. The website does not use advertising trackers.
